1.1 Download & Create Your Account

Download BandAtlas from the App Store and open the app.

Tap Create Account → enter your email and a secure password → tap Register.

Check your inbox for a confirmation email and tap the verification link. You cannot log in before confirming.

Return to BandAtlas and sign in with your credentials.
1.2 Create or Join a Band

On the welcome screen, choose Create a Band to start fresh as admin, or Join a Band if your bandleader sent you an invite code.

Joining: Enter the invite code → tap Join. You appear in the band's member list immediately.

Creating: Enter a band name → optionally upload a logo → tap Create Band. You become the band's admin.
1.3 Complete Your Profile

Go to Settings → tap your name or avatar at the top.

Add a profile photo, your display name, and your instruments.

Enter your home city in the address field — used for automatic carpool matching on the Anreise tab.

Add your phone number so band members can reach you directly.
Tip: A complete profile (photo + instruments + city) improves carpool matching and makes you discoverable via Find a Musician.
1.4 Onboarding Tour
On first login BandAtlas offers a 6-step interactive spotlight tour. Follow the prompts or skip and restart anytime via Settings → Show Tour.
Your home screen shows upcoming gigs, quick actions, and band status at a glance.
Band Switcher
Tap the band name top-left to switch between all bands you belong to.

Next gigs at a glance. Tap any card to open the full detail screen.
Quick Actions
One-tap access to Band Chat, Find a Musician, and Notifications.
Pro Status
A banner shows trial days remaining or confirms active Pro status.
The Band Chat tile shows an unread badge when new messages are waiting. Tap it to jump directly to the conversation.

3.1 Creating a Gig Pro

Gigs tab → tap the + button.

Enter the gig title (required) and select an event type (Concert, Rehearsal, Festival, Wedding, …).

Set the date, Call Time (when to arrive), and Show Time (stage time).

Add Venue Name and Address.

Fill in Contacts: promoter, venue contact, tech contact.

Add Logistics: accommodation, catering, parking info.

Add Tech Rider: backstage info, equipment, stage access, power, drinks, Instagram handle.

Add any general Notes → tap Save.

Update from the edit screen or the status button on the Info tab.

3.4 Inviting Band Members Pro

Open the gig → Lineup tab → tap +.

Select one or more band members from the list.

Tap Send Invitations. Each member gets a push notification and can accept or decline.
Tip: Member invitation status (Accepted / Pending / Declined) updates in real time on the Lineup tab.
3.5 Load a Saved Lineup

Lineup tab → tap Load Lineup.

Choose a saved lineup — all members in that template are invited automatically.
Manage saved lineups under Settings → Band → Lineups. You can define default member roles and fees per template.
3.6 Runsheet PDF Export

Open a gig → tap the PDF icon in the top-right of the AppBar.

BandAtlas generates a professional Runsheet PDF and opens the native share sheet.

Share via AirDrop, email, WhatsApp, or save to Files.
Includes: full gig details | accepted lineup with phone & email | band admin contact | carpool groups | travel notes | Ai route planning (if generated).
Build, reorder, and share setlists. Assign them to gigs and use full-screen Live View on stage.
4.1 Creating a Setlist Pro

Setlists tab → tap + → enter a name → tap Create.
4.2 Adding & Reordering Songs

Open a setlist → tap + → search your song library → tap a song to add it.

To reorder: long-press a song row and drag it to the desired position.

To remove: swipe left on a song → tap Remove.
4.3 Live View — Stage Display

Open a setlist → tap the Live View icon in the top bar.

High-contrast OLED display activates — optimized for dark stages.

Swipe left to advance, swipe right to go back.
Tip: Disable Auto-Lock and set screen brightness to max before going on stage.
4.4 Assign to a Gig

Open the gig → Setlist tab → tap Add Setlist.

Choose from your saved setlists. It links to the gig and is visible to all invited members.
4.5 Export as PDF

Open a setlist → tap the PDF / Share icon in the top bar.

PDF is generated instantly and the share sheet opens.
4.6 Ai Setlist Generator Pro

Setlists tab → tap Generate Ai Setlist.

Select an event type and audience profile → tap Generate.

BandAtlas suggests a song order from your library based on energy flow, tempo, and event context.

Accept, modify manually, or regenerate.
Members can view Ai-generated setlists for free. Only the admin needs Pro to generate new ones.
A shared song database for the entire band. Add key, BPM, leadsheets, and reference recordings for every track.
5.1 Adding a Song Pro

Enter the title (required). Optionally add Key, BPM, and Notes.

Add links: Leadsheet URL and Reference Recording (Spotify, YouTube).
5.2 CSV Import Pro

Songs tab → menu (⋯) → Import CSV.

Select a .csv file. Required column: title. Optional: key, bpm.

All songs are imported in bulk into the band's library.
5.3 Searching Songs
Use the search bar at the top of the Songs tab to filter by title in real time. Songs are sorted alphabetically by default.
Set departure cities, auto-form carpools, and generate Ai-powered route recommendations for every gig.
6.1 Setting Your Departure City

Open a gig → Travel (Anreise) tab → tap Set Departure.

Enter your starting city → confirm. Your city is visible to all band members on this gig.
Tip: Set your home city in profile settings (Settings → Profile → Address) so it auto-fills for every gig.
6.2 Carpool Groups
BandAtlas automatically groups members sharing the same departure city. Groups appear in the Travel tab with member names and instruments so drivers can plan seating.
6.3 Travel Notes
Use the Notes field in the Travel tab to share practical info for the whole band: meeting point, parking tips, toll routes.
6.4 Ai Travel Analysis Pro

Travel tab → tap Generate Ai Analysis.

BandAtlas analyzes optimal routes for each departure city using Perplexity Ai.

Results include: transport mode, travel time, cost range, and carpool hints. The top recommendation is highlighted.

Results are cached offline after first generation.
Members can view existing Ai travel results for free. Only the admin needs Pro to generate a new analysis.
Track gig expenses, scan receipts with OCR, and get a clear picture of your band's finances through charts and summaries.
7.1 Adding an Expense

Open a gig → Finance tab → tap +.

Choose a category: Transport, Accommodation, Food, Equipment, Marketing, Studio, or Other.

Enter amount, date, and an optional description.

Optionally attach a receipt photo → tap Save.
7.2 OCR Receipt Scanner

While adding an expense, tap the camera icon.

Point your camera at the receipt — BandAtlas reads the total automatically.

Confirm the detected amount — it fills the amount field automatically.
Tip: Hold steady in good lighting with the total clearly visible for best OCR accuracy.
7.3 Finance Overview & Charts
The Finance overview (main navigation) shows total expenses per gig, category breakdowns in bar and pie charts, and date range filters.
7.4 CSV Export Pro

Finance overview → tap the Export icon.

A .csv with all expense data is shared via the native share sheet.
Keep contracts, stage plots, rider PDFs, and important links organized and accessible for every band member.
8.1 Uploading Files

Open a gig or the band's Files tab → tap +.

Select a file from your device (PDF, image, document).

The file uploads to secure storage and is visible to all band members.
8.2 Managing Band Links Pro

Settings → Band → Files & Links → tap +.

Choose a category (YouTube, Spotify, Website, Contract, Social, Other) → enter URL and label → tap Save.

Links appear on the Files tab for all members to open with one tap.
8.3 Deleting Files or Links
Swipe left on any file or link → tap Delete. A confirmation dialog appears before permanent removal.

10.1 Browsing Profiles

Dashboard → tap Find a Musician.

Browse musician cards: photo, name, instruments, city.

10.2 Viewing a Portfolio
Tap any musician card to open their full profile: instruments, experience, and portfolio links. Tap any link to open it directly.
10.3 Sending a Request Pro

Open a musician's profile → tap Request.

Add an optional message → tap Send. The musician is notified of your interest.
10.4 Making Yourself Discoverable

Settings → Profile → enable the Discoverable toggle.

12.1 Editing Your Profile

Bottom nav → Settings → tap your name or avatar at the top.

Edit: display name, profile photo, instruments, main instrument.

Add home address (city used for carpools), phone number, and portfolio links.

Tap Save — changes sync to all band members immediately.
12.2 Band Settings Admin
Settings → Band:
- Rename the band or upload a new logo.
- Invite code: share to let new members join your band instantly.
- Member management: change roles (booker, technician, member, guest) or remove members. One admin per band.
- Saved Lineups: define reusable lineup templates with default member roles and fees.
12.3 Biometric Lock

Settings → Security → enable Face ID or Touch ID.

BandAtlas locks automatically when you leave the app and unlocks with biometrics on return.
12.4 Language
Settings → Language → choose German or English. The change applies immediately across all screens.
12.5 Account
Settings → Account to change your password, manage your subscription, or delete your account.
Account deletion is permanent and cannot be undone. All band data will be removed.
Pro gives band admins access to all creation, editing, and management features. Every other member participates completely for free.

Enabling Notifications

On first launch, BandAtlas asks for notification permission — tap Allow.

If you denied permission: iPhone Settings → Notifications → BandAtlas → Allow Notifications.
No signal on the road? BandAtlas automatically
caches your data so you can access everything offline.
15.1 Offline Status Bar
As soon as BandAtlas detects a lost connection, a slim banner
slides in from the top of the screen. It tells you the app is offline and when
it last synced your data. Once connectivity returns, the banner briefly turns
green — then disappears on its own after a few seconds.
Offline State
Shows "Offline · Last sync: [time]" in an amber banner. If
the app has never synced it reads "Not yet synchronised".
Reconnected State
Banner turns green and shows "Back online". It
auto-dismisses after 2.5 seconds and a full background sync starts
immediately.
15.2 What's Available Offline
Gigs
All gig details, lineup, logistics, and notes available without
internet. Upcoming gigs (next 90 days) are pre-fetched with full detail.
Setlists & Songs
Your full song library, all saved setlists, and gig-specific
setlists accessible without connectivity.
Chat History
The last 50 messages from your band chat and each gig chat —
including sender names and avatars — are cached locally.
Gig Members
The full member lineup per gig, including confirmed status and
individual departure info for travel planning.
Travel Notes
Travel and departure notes for upcoming gigs are synced so you can
check them on the road without signal.
Expenses
Band and gig expense records are cached so you can review costs and
budgets even when offline.
Band Links
Shared links saved in the band's file section are available for
reference without an internet connection.
AI Results
Previously generated AI setlist suggestions and AI travel analyses
(Travel tab) are cached per band and gig — no regeneration needed.
15.3 When Does BandAtlas Sync?

App start — BandAtlas runs a full
background sync every time you open the app while logged in.

After login — A complete sync runs
immediately after you sign in to ensure all data is fresh.

Connectivity restored — The moment the
offline banner disappears, a new sync starts automatically in the
background.

Real-time updates — While online, gig
and song data updates via live streams, so the cache stays current as your
band makes changes.
All caching happens automatically in the background — no manual
action needed. The offline banner always shows the exact time of your last
successful sync.
Creating or editing gigs, songs, and messages requires an active
internet connection. Offline mode is read-only.
